We're flying in and are trying to figure out the best way to bring everything. I think airlines allow two checked bags (without charge) and two carry-ons.
So we're trying to figure out the best way to bring everything. We'll each bring a bag of cothes/personal items as a checked, then the second will be a tent and a shade--(maybe lawn chairs rolled into one?)
Person one checks: - Clothes / supplies bag - Tent / lawn chair
Person two checks: - Clothes / supplies bag - Lawn Chair / Shade
After trying to buy our food last year and make meals, we realized it was easier and far better tasting to buy from vendors or official vendors at roughly the same cost.
It seems like it would be nice to have a lockbox / cooler combo that leo suggests in his guide though. I'm open to dropping unnecessary stuff, but I'm curious if anyone else is working on this.
I'm in the same boat as you. What I'm doing is shipping my stuff to a hotel I'm staying at on Wed night. I know that if you ship your stuff with FedEx you can pick it up at a FedEx hub probably in Nashville. Shipping with FedEx ground only cost me $30 for a 40lb box. If you do plan to ship something make sure it arrives a day early just in case.
I'd like to do this, but we're flying in Thursday morning. Maybe we can pay for extra checked baggage. It would be nice to just buy vendor food / beer. Maybe we can go without the cooler.
Are you taking the shuttle, because if you are renting a car it should be no problem to ship to the FedEx hub in Nashville and still pick it up on Thurs.

Like kemosabe said, you're in for a trip! You guys should really reconsider. Even if you just purchase a cheapie at Wal-Mart when you get there...you'll be really glad you did. What are you going to do for cold water? No cold beer at the campsite? No cold drinks at all at the campsite?!

If i were you i'd ditch the cooler and the lawn chairs... If i were to bring one of the two it would be the chairs... Getting a cheapo at Wal Mart right before you head in is a much better idea, you wont get one with wheels for cheap though so its still gunna be alot of work to get it in, but you wont have to bring it back out.... IF you guys have camelbaks pack them with all your stuff empty and fill em with ice water for each afternoon, it'll stay cold all day for ya and you can buy ice at the roo... No one at our camp last year had a cooler and we did fine... Just factor the water/ice bill into your budget and you'll be cool... Probably $10 a day would be good, maybe a little more...
If your packs have alot of straps and stuff hanging around on the outside you might want to find a large duffell bag or heavy duty trash bag to put it in when you check your luggage, alot of those straps and buckles and stuff can get caught in the luggage systems and ruin your pack and/or mess things up at the airport...
One of the challenges we're facing is that we are taking the shuttle from the airport. I don't think it stops at a walmart or grocery, although this would be helpful. The lawn chairs I was thinking of are more the collapsable camping ones, that become cylincrical when broken down. Maybe two of those and a tent could fit in a green military bag along with some clothes.
We did have a cooler last year, which we were able to fill with the help of some friends who drove in to the festival. Even with the fairly large amount of vendors, I agree that it makes things harder not to have something cooling at home base, (esp. beer). It sounds like one of our checked bags should be a cooler perhaps filled with water-type stuff.
The idea then would be to coordinate someone to buy a few extra cases of beer and bring it to the festival for us. (shouldn't be too hard between the list and inforoo) Then buy ice on the festival grounds over the course of the week.
if two people are taking the shuttle from the airpot, that's $50 each. so you're paying $100 for a shuttle. my rental car is costing me about $125 (including taxes & fees) I can drive wherever I want to before heading in and buy everything I want... I will have a vehicle at the venue, so I can lock all my valuables in AND be able to sit and enjoy the a/c for a little bit each day. even take a little nap in the a/c after some breakfast.
Hmm, I didn't realize it was this cheap. This is an option but then you lose the ability to go tent-only, right? Which means the wait on the way in + longer distance to / from the show.
You can still go tent only. My girlfriend and I are renting a car and going tent only. You just leave your car and travel with all your stuff to the tent only spot. You will have to wait in line though.

Hmm... So you unload your stuff near the tent only area, then take your car out in the general camping area? It would be nice to have somewhere to lock stuff up if we needed, but it isn't as simple as the shuttle.
We get in around 9:30am Thursday, so that's an hour or so leaving the airport in a rental plus two to drive to the store then show, then what a couple of hours to get through the line at that point?
The car has some bonuses, but if you really can reach a super-walmart within walking distance of the show--that may be the way to go for us.
you cant stop by the camping only to unload or anything, you have to lug your stuff down in. if your lucky enough to get decently close, then carry it in, and get a lot of space. ill be bringin the old wagon to cart all our stuff no matter how far we are, then making a home for the weekend.
