Hey there
I recently applied for radio/press passes through the very small independent radio station I work for in Cincinnati. I was extremely pumped to get the approval and I cancelled my volunteering spot. As did who I was going down with. Now, I get this email today having me sign a contract and saying that before I am to obtain my press and camping pass, I must submit proof of 6 different kinds of insurance. General liability, umbrella, commercial automobile insurance, etc.
There is absolutely no chance of us being able to obtain these kinds of insurance. We haven't even actually made money yet outside of donations and other forms of income. We're less than a year old, renting out space for our online/streaming station.
I'm honestly freaking out now that I jumped the gun and am now not making it back to Bonnaroo. Can anybody help shed some light on this who has experience with press/radio passes?

LOL what? I have obtained dozens of media credentials over the years (including Bonnaroo) and have NEVER been asked to submit any type of insurance. Sounds to me like you're getting scammed or something and you're not talking to their real press people.

Yea, this site started as a Bonnaroo board and while we've gotten press passes occasionally in the past nothing ever came up about insurance. Look into who you're talking to.

I'm hoping this is just some kind of....weird scam? A friend who applied through his larger radio station got the same email. Then I'm supposed to send my COI to bonnaroo@concierge.com
God I really hope this is just some dumb thing. I really wish I didn't electronically sign this document though. Fingers crossed that I haven't fucked myself with that! UGH.

Is it possible that things are different because I filled out the Radio credentials application and not press? I assumed they would be the same thing, I just thought, you know, we're a radio station so I'll fill out the radio application, not press which I assumed would be for more print focused material. We have a blog and website as well where we do post articles and reviews and everything but again, I thought radio was the application I was looking for.
They may want that insurance thinking you are wanting to set up and broadcast from the venue, bring in equipment, tie into their power grid, etc. I have gotten press passes before and it was a fairly easy process and have never been asked for proof of insurance. I hope they're cool with switching us over to strictly press. I was just thinking that since we're a radio station, we can talk about and promote Bonnaroo on the air as well as written content.
If they are weird about it, idk what to do. I already gave up my volunteering spot as did my partner and my friend from Cincinnati at a larger station already sold his ticket. He's in the same boat as I am.

I'm still waiting on a response. I haven't been able to sleep over this. I knew I shouldn't have given up my volunteering spot right away but I wanted to give it up to people on the huge waiting list.

I'm fairly certain Mason Jar Media is who runs the radio compound at Bonnaroo. Or at least they have in the past. You may try reaching out to them on socials.

The contract you sign basically stating you agree to a bunch of legal stuff and also agree that you have insurance. It's just a CYA document for both you and Bonnaroo. We had to sign this last year and this year as well as part of the process. Last year they did not ask us for proof of insurance. Apparently this year they are requiring us to e-mail proof of insurance as we got the same e-mail. Other stations have recevied the e-mail and asked about this. The response they got is yes, you will be required to email proof of insurance over to concierge before you can pick up credentials.
Beyond that I am not sure. I have asked some questions about the insurance coverage with my liason, but have not received any answers yet. It may be that you luck out and be able to receive credentials without proof of insurance, but I am not willing to bank on that.

:/ I can't express how upset I am with myself if I'm not able to make it because of getting excited and canceling my volunteering spot over this.
I don't even know where I'd get these insurances. Even then, we wouldn't be able to acquire them.

What happened? Can't just not say now.
I finally got a response with them saying that this will be the last time they will make an exception for stations and let them sign a liability release form. Going forward, insurance will be required.
All I know is this could be my first and only time doing press for all I care, I'M JUST SO PUMPED I HAVE A GUARENTEE I CAN GO

Nope, the only thing we're doing is mentioning Bonnaroo artists when we play them on air and I'm writing up a day by day preview for who I'm excited to see. Nothing besides that.

Yes! Print it out! Glad it worked out for you...going with a Press Pass is fun. Make sure to check out the press area behind the Which stage. Free beer, air conditioning, etc.

Don't forgot to stay hydrated and pace yourself same as if you were just a ticket holder. I don't mean to sound like a dick but I've seen people who had gone to plenty of fests as a fan and done just fine but when they have a photo pass for the first time they try to do to much and end up exhausting themselves or worse
Edit: Another piece of advice for your first festival as press: If you consume party favors and end up in a state of mind where you might do/say something stupid, stick your laminate inside your shirt, leave or don't enter the media area except if hydration is needed and just don't put yourself in a situation where you can embarrass your station and possibly jeopardize getting passes again in the future
